How to follow up on WhatsApp with a customer who asked a question and went quiet, without being pushy

Short answer: message them within 24 hours of their last message, about what they actually asked (not "still interested?"), two or three times at most with hours in between, and stop the moment they reply or someone on your team takes the chat. In Super Agent the agent does this with the "Classify and follow up" tool: when it answers, it decides whether the conversation is going somewhere, labels it (hot, warm, cold, resolved or not a lead) and writes up to three follow-ups in advance, each of which cancels itself if anything changes.

Why these sales slip away

A customer asks for the price and their size, gets an answer with a checkout link, and never writes back. Sometimes they decided not to buy; often they just got distracted. Nobody messages them again because nobody remembers, and by the next day it is too late: WhatsApp, Messenger and Instagram only let a business send free-form messages within 24 hours of the customer's last message. After that, on WhatsApp you can only send a template Meta has approved.

Writing the follow-up is easy. Doing it in every chat, on time and without overdoing it, is the hard part. To put a number on what goes unanswered, try the missed-reply calculator. Here are the four mistakes we see most.

Mistake 1. A generic nudge

"Hi, still interested? 🙂" reminds the customer of nothing and reads like a bulk message. A follow-up that works picks up their question: the size, the colour, the delivery. In Super Agent, the agent writes each follow-up at the moment it replies, with the conversation in front of it, and is instructed to write about what the customer asked, never a generic check-in.

Mistake 2. Too soon, or too often

A message five minutes later feels like pressure, and five in one afternoon is a nuisance. So there are fixed limits, and your settings can only make them more cautious:

Within those limits the agent picks the timing from what the customer said: someone who wrote "I'll look tonight" is not nudged an hour later.

Mistake 3. Still messaging when it no longer fits

The worst follow-up is the one that lands after the customer already answered, or while you are already handling the chat. Each one is checked against the conversation again right before it is sent, and the plan is cancelled if:

Mistake 4. Leaving it until tomorrow

After 24 hours a follow-up can no longer go out as an ordinary message. So the deadline is counted from the customer's last message, and a follow-up that does not fit inside it (or falls in its last half hour) is dropped rather than delayed.

Setting it up in Super Agent

  1. Connect your channels in Integrations: WhatsApp Business, Instagram, or your Facebook Page for Messenger. Follow-ups work on those three, not on your website chat, SMS or calls.
  2. Turn the tool on. In your agent, under "Handle customer conversations", turn on "Classify and follow up". A new agent created from the console already has it on.
  3. Check the numbers: "Reminders at most", "First one after" and "Then wait at least". They are minimums: the agent can wait longer.
  4. Tell it when and what in its instructions. For example: "Only follow up when they asked about a specific product. One reminder after 2 hours and another before the end of the day. Never offer a discount in a reminder." When your instructions say when or how many, the agent follows yours.
  5. Watch it in Conversations. The chat shows "Follow-up scheduled" with the lead label, the reason, the time of each follow-up and when the window closes. In the customer panel, "Scheduled follow-ups" lists each message with its time and a "Cancel follow-ups" button.

A worked example: black boots in a size 7

A shoe store runs with the default settings. The customer, times and wording are made up for the example:

Customer · 10:05Hi, do you have the tall black boots in a 7?
Agent · 10:05Hi Anna! Yes, we still have them in a 7. If you'd like them, you can pay here: (checkout link)

Anna doesn't reply. In the chat, you see:

Follow-up scheduledLead: Hot Why: Asked about the black boots in a size 7 and got the checkout link. Will send: 1. today, 12:30 · 2. today, 17:30 Window closes: tomorrow, 10:05
Follow-up 1 · 12:30Anna, did you get a chance to look at the black boots? If you're unsure about the size or the shipping, tell me and we'll sort it out.
Follow-up 2 · 17:30In case it helps, here's the link to pay for the boots in a 7: (checkout link). Any questions, I'm here.

If Anna replies at 13:00 with "how long does delivery take?", the second follow-up is cancelled and the agent answers as usual. If she doesn't, she gets nothing more.

What each label means

Labelling does not mean messaging: a conversation marked "Resolved" gets no follow-ups, and you can see which ones are finished.

What if the 24 hours have passed?

Then you need a template Meta has approved, sent as a campaign or from an automated flow. For an unpaid cart, see how to recover abandoned carts on WhatsApp. Before sending, run the template through the WhatsApp template checker and read why Meta rejects templates.

Frequently asked questions

Can I stop the follow-ups in one particular chat?

Yes: "Cancel follow-ups" in the customer panel. They also stop if you reply by hand or pause the AI in that chat.

Does the agent tell the customer it will write again?

No. It is told not to announce it ("I'll check back later"): the follow-up is cancelled if the customer replies first, and promising a message that never comes is worse than not sending one.
