Who are your customers, really?
Your orders export already knows who bought once and vanished, who keeps coming back, and who has quietly stopped. Paste it in and this sorts every customer into a segment, counts the money in each one and tells you what is worth sending them.
Your file never leaves this page. It is read by your browser, right here. Nothing is uploaded, sent to us or saved, and closing the tab forgets it.
Read 14 rows: 13 orders, 1 extra line-item row merged into its order by Name. Columns used: Email, Created at, Total.
Send: a thank-you and a tip for using what they bought. Not a discount yet.
Send: a reason to come back — what is new, or an offer on a second order.
Send: early access to new arrivals, and a request for a review.
Send: a personal check-in before they go quiet for good. A small incentive belongs here.
Send: one win-back message with your best offer. If they do not answer, stop.
Send: a first look and a thank-you. Never your blanket discount.
Revenue in each segment is everything those customers have spent up to the date above, not only their latest order. VIP overlaps the other five, so the rows add up to more than the total.
How it is calculated
No model, no scoring formula. Every customer gets exactly one of five segments from two facts: how many orders they have placed and how many days have passed since the last one.
- Reading the file. The first row is the header. The customer is the first column found among Email, Customer Email, Billing Email, Phone and Teléfono; the date is Created at, Date, Order Date or Fecha; the total is Total, Order Total, Amount or Monto. Capitals and accents do not matter.
- One order, not one row. When a Name column holds order numbers, rows that repeat the same Name are merged into one order, which is how Shopify writes an order with several products.
- One customer, not one spelling. Emails are compared in lower case and phone numbers by their digits only.
- The segments. One order: new if it was in the last 30 days, one-time, lapsed if earlier. Two or more: repeat, active up to 60 days since the last order, at risk from 61 to 120, dormant after that.
- VIP. Customers are ranked by total spend and the top 10%, rounded up, are flagged. A VIP still belongs to one of the five segments.
What it assumes, stated plainly
- That the windows fit your store. 30, 60 and 120 days suit products people buy a few times a year. For something bought once a year, stretch them in your head before you act on the at-risk list.
- That the total column is what the customer paid. Refunds and cancellations are not subtracted unless your export already did it. A negative total counts as zero.
- That one email is one person. Someone who checked out with two addresses is two customers here, and a guest with no email and no phone cannot be placed at all — those rows are counted and skipped.
- That a date like 03/04/2026 is month first on this page. When the day is above 12 it is read correctly either way, and dates written as 2026-04-03 are never ambiguous.

Questions
- Which file do I need?
- Any CSV with one row per order, or one row per product in an order, that has a column for the customer (an email or a phone number), the order date and the order total. A Shopify orders export works as it is: when an order has several products Shopify repeats it on several rows with the same Name, and the tool merges them back into one order. Column names are matched in English or Spanish, and comma or semicolon separators both work.
- Why 30, 60 and 120 days?
- They are a starting point, not a benchmark. They suit a store whose customers buy a few times a year, like clothing, beauty or food. If you sell something people buy once a year, every window is too short for you, and your at-risk list will be full of perfectly happy customers. Read the segments with your own buying cycle in mind.
- Where does my data go?
- Nowhere. The file is read by your browser on this page and nothing is uploaded, sent to us or stored. You can load the page, disconnect from the internet and it still works. Closing the tab forgets everything.
- What do I do with the segments?
- Send each one a different message instead of one blast to everybody. Download the list, then message each group with the suggestion beside it. Super Agent does this without the spreadsheet: it builds these audiences live from your connected Shopify or WooCommerce store and sends WhatsApp campaigns to them.
